Sales and Marketing Operations Specialist (Admin)

As a Sales and Marketing Operations Specialist, you will work cross-functionally with the Sales, Customer Care, Marketing, Finance, and Business Operations teams to accelerate revenue growth and teamwide productivity by leveraging our Salesforce, HubSpot, and other platforms. Most of the focus will be on Salesforce and HubSpot. You will be the expert in how Prismm operates, leverages, and reports on our platforms and other service-based technology tools to eliminate inefficiency and champion productivity across the revenue teams and the broader company. You will help improve the return on our marketing investments by leveraging best practices and different technologies, metrics, and processes to attract, nurture, and convert prospects into clients. You will be key in supporting our growth and brand initiatives and objectives.

You will help evaluate our systems and identify opportunities to improve and implement best practices for developing and optimizing campaigns that will drive the growth of our customer base. You will ensure the quality and accuracy of our systems integration, process automation, and data flow.

Responsibilities 

  • Provide comprehensive sales, marketing & service operational support, including but not limited to user headcount and capacity management (setup, permission, roles), account and opportunity management, and Salesforce and HubSpot rules of engagement decisions. 
  • Maintain a high level of data integrity and upkeep, managing systems records with multiple data sources and implementing processes to cleanse records and provide high-value data for the sales, marketing & service team (including updates, patches and enhancements, back-ups and recovery strategy) 
  • Operate as a nexus point between departments, collaborating and fostering relationships cross-organizationally, working with service/sales/marketing/product/data ops/finance/legal teams to execute requirements and implement integrations.  
  • Develop and maintain sales Key Performance Indicators (KPIs) and support the rhythm of the business through weekly, monthly, and quarterly reporting; work with large data sets, sales tools, and systems to build actionable reports and insights to drive the pipeline. 
  • Design, develop & deliver robust and scalable reporting around pipeline health, deal management, attainment, etc. The goal is to promote visibility. 
  • Day-to-day management of HubSpot including marketing automation, emails, campaign setup, nurture programs, landing pages, forms, lists and Salesforce integrations with tech stack 
  • Refine the lead management process including lead flow, velocity, and tracking across campaigns. Oversee and track the flow of leads to Sales, ensure leads are correctly qualified, routed, and followed up with 
  • Work with the marketing team to improve lead scoring and management processes. 
  • Create scalable systems to maintain the health of our marketing databases to ensure their usability and reliability and correctly synchronize across systems; leverage our enrichment tools to ensure our lead data is actionable and complete. 
  • Work with the Growth Marketing team to ensure systems support the smooth execution and reporting of marketing campaigns. 
  • Provide tracking and visualizations of the progress of marketing programs across channels and partner with analytics to build reports and dashboards. 
  • Provide analysis and insights to facilitate decision-making for marketing investments; identify areas within the customer journey that are strong and areas that could use improvement. 
  • Assist in the upkeep and maintenance of service and sales reporting, dashboards, and analytics. 
  • Support and troubleshooting: respond to user inquiries, troubleshoot Salesforce & HubSpot issues, and collaborate with teams to address system-related problems 
  • Business process documentation and improvement: document workflows and SOP and identify opportunities for process improvement 
  • Continuous improvement: stay updated on Salesforce and HubSpot releases and best practices and recommend and implement process improvements 
  • Administrating sales toolsets, and training new sales reps in their function and application 

Qualifications 

  • 3-5 years of experience working in hands-on experience working with HubSpot & Salesforce preferred 
  • Experience with Salesforce Administration includes using custom and standard fields and objects, workflow rules, data validation rules, and page layout changes. 
  • Experience in Salesforce Lightning development, SDLC, and Salesforce Service & Experience Cloud 
  • 3+ years of HubSpot experience with marketing, demand generation, marketing automation/operations / analytics  
  • Critical thinker and problem solver who strives for continuous process improvement 
  • Strong ability to research system requirements and determine the steps necessary for proper configuration 
  • Able to effectively collaborate cross-functionally, partnering with stakeholders to drive business performance 
  • Ability to manage multiple concurrent projects and drive projects to completion with minimal guidance. 
  • Ability to communicate with all levels of the organization
